Privacy Policy

This Privacy Policy explains how Cobenian Corporation ("Cobenian," "we," "us"), a Virginia corporation, handles information in connection with Cobenian Companion ("Companion," the "Service"). We aim to collect only what we need to run the Service and to be clear about how it is used.

Information we collect

  • Account information. When you sign in through an identity provider (such as Google or Microsoft), we receive your name, email address, and a provider identifier.
  • Workspace data. Workspaces you create or belong to, your role, and members you invite.
  • Connections. The configuration of services you connect (such as a name and URL) and the credentials you provide for them, which are encrypted at rest.
  • Content you create. Notes and other content you ask Companion to save, and transcripts of your requests and replies needed to act on them.
  • Activity logs. A record of the actions Companion takes on your behalf, for security and auditing, and standard server logs (such as IP address and request metadata).

What we do not do

  • We do not sell your data. We do not sell or rent your personal data to third parties, and we do not share it for third-party advertising.
  • We do not store raw audio. Your voice is processed in real time to produce a transcript; we do not retain raw audio recordings.
  • We do not use voice to authenticate. Your voice is a convenience, never a security credential.

How we use information

We use the information above to operate and secure the Service: to sign you in, route your requests to the connections you authorize, return and read back results, keep an audit trail, and prevent abuse. We do not use your content to build advertising profiles.

AI and voice processing

Companion relies on third-party AI providers to transcribe speech and to understand and carry out requests. The text of your requests (and, where relevant, results) is sent to these providers solely to produce a response and act on your behalf — not to train their models on your behalf.

Service providers

We share information with a limited set of providers that help us run the Service, only as needed to do so. These currently include Google (sign-in and speech), Microsoft (sign-in), Anthropic (AI assistance), and our cloud hosting provider. Separately, when you direct Companion to a service you have connected, your request is sent to that service under its own terms and privacy practices.

Data security

We protect information in transit and at rest. Connection credentials are encrypted at rest, and each workspace's data is isolated from others. When the Service cannot operate securely, it fails closed rather than proceeding.

Data retention

We keep information for as long as your account or workspace is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may ask us to delete your data, subject to those obligations.

Your choices

You may remove connections and delete content you have saved at any time, and you may request access to or deletion of your personal data by contacting us. You can stop using the Service and sign out at any time.

Children's privacy

The Service is not directed to children under 13, and we do not knowingly collect their personal information.

Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the "Last updated" date above.
